TEN TIPS TOWARDS SUCCESFULLY LEASING OFFICE SPACE 1) When companies need to make a decision to relocate there Offices or open a new location, it is advisable to first analyze your current situation for there are many variables to consider. One must define the future needs of the company prior to making the first step. There are numerous costs involved from the physical move to stationary and internet set up to name a few; 2) Location, Location, Location: The Old adage towards finding a new office premise is picking the right location that services the needs of the staff whether it be subway considerations, public transit or area amenities; 3) The next step would be to analyze the market place in which you are considering relocating to. It may turn out that there are no good or available options in the market that you wish to relocate to and you must look at other areas. 4) One crucial aspect that numerous companies don’t factor in is time! One needs to allocate at least six months prior to starting the entire process; 5) Once a review of available properties has taken place, it is time to compare what is available and prepare a check list of your needs and wants and see how each property stacks up. 6) A short list of the most desirable locations is prepared and a final inspection is done to see if there are outstanding issues with the space that will need to be addressed such as carpeting and paint or the construction or demolition of leasehold improvements; 7) It’s now time to develop a negotiation strategy for the selected landlord. If there is a toss up between two properties, it is advisable to submit offers on both properties with conditions to cancel out of one or the other. The negotiating process can take time especially if working drawings are required to complete any leasehold improvements and they need to be approved by both parties prior to finishing negotiations. One needs to consider as part of the strategy, what rate will we offer? How much free rent is reasonable? Do we need money for leasehold improvements or are we going to ask the Landlord to do it at there time and expense; 8) It’s now time to Finalize Negotiations! Don’t let them drag on. If a Landlord starts to become unresponsive, move on to the second option which you have been moving along at the same time.
